How we handle your personal data

This privacy policy covers the data we process about you when you visit our websites, create a trial account, sign up for our emails, or become a customer.

Are you using HorseManager as an employee, owner, rider, or contact of a stable? In that case, it is that stable — not us — that determines what happens to your data. We only process that data on behalf of the stable. For questions about this, it is best to contact the stable directly. You can read more about this under "Data that stables enter into HorseManager".

Who we are

What data we process and why

Visitors to our websites

What data: IP address, browser type, device, pages visited, time and duration of visit, and the source through which you arrived. Why: to make our websites work and keep them secure, and to understand how our websites are used so we can improve them. Legal basis: for functional and security-related processing, our legitimate interest in a working and secure website. For analysis and advertising purposes, your consent, which you give via our cookie notice and which you can withdraw at any time. Retention period: analytics data for a maximum of fourteen months. Server logs for a maximum of thirty days.

Registration of your cookie choice

What data: an encrypted representation of your IP address, the time of your choice, which version of the cookie notice you saw, your choice per category, and your browser data. Why: the law requires us to be able to demonstrate that you have given consent and for what. Without this registration we cannot do so. Legal basis: our legal obligation to make given consent demonstrable. Retention period: three years after your choice.

Trial accounts

What data: name, email address, phone number, company name, type of business, and the data you enter yourself into the application during the trial period. Why: to be able to offer you a trial account, support you during the trial period and inform you about the possibilities of HorseManager. Legal basis: the performance of the trial agreement. For contacting you about our service after the trial period: your consent, or the exception for existing customer relationships under the Dutch Telecommunications Act. You can unsubscribe in every email. Retention period: twelve months after the end of the trial period, unless you become a customer sooner or request deletion earlier.

Interested parties and newsletter recipients

What data: name, email address, company name, and data about your interaction with our emails, such as whether you opened or clicked an email. Why: to inform you about HorseManager, developments in our field and our offers. Legal basis: your consent. If you are or have been a customer, we may inform you about similar own services under the Dutch Telecommunications Act without prior consent. You can unsubscribe in every email. Retention period: three years after your last interaction with us.

Customers and contact persons at customers

What data: name, position, business email address and phone number, company details, invoice and payment details including IBAN and details of a provided mandate, and correspondence about the agreement and about support. Why: to perform the agreement, to invoice, collect payments, provide support and maintain our administration. Legal basis: the performance of the agreement, and for the administration our legal obligation. Retention period: seven years after the end of the agreement, on the basis of the tax retention obligation. Data not covered by that obligation will be deleted sooner.

Data that stables enter into HorseManager

Our customers enter data into HorseManager about their own employees, customers and contacts. For that data, the relevant stable is the controller. We process it exclusively on behalf of that stable and on the basis of a data processing agreement. We do not use that data for our own purposes.

If you want to know what data has been recorded about you, or want it corrected or deleted, please contact the stable you are dealing with. We will refer you on if you contact us directly.

Cookies

On our websites we use cookies and similar technologies.

Functional and necessary cookies are needed to make our websites and the application work, for example to keep you logged in and to remember your preferences. This also includes Google reCAPTCHA, which protects our forms against automated abuse. We always place these cookies.

Analytical cookies are used to measure how our websites are used. For this we use Google Analytics.

Marketing cookies are used to better target our advertisements and to measure their effect. For this we use the Meta pixel.

We only place analytical and marketing cookies after you have given your consent via our cookie notice. You can change or withdraw your choice at any time via the cookie settings on our website, and you can delete placed cookies via your browser settings.

In the HorseManager application itself we only place functional cookies.

With whom we share data

We do not sell your data. We do engage service providers who process data on our behalf.

We also provide data when a legal obligation requires us to do so, for example to the tax authority or a supervisory authority.

Transfer outside the European Union

Your data is in principle stored within the European Union. Our application and the data in it run in Frankfurt. A number of the parties listed above are based in the United States or may process data there. For such transfers we ensure appropriate safeguards: participation in the EU-US Data Privacy Framework, or the standard contractual clauses adopted by the European Commission. You can ask us which safeguard applies to each party.

How we secure your data

We take appropriate technical and organisational measures to protect your data. These include: all traffic is encrypted via TLS, passwords are stored only in encrypted form, access to our systems is limited to those who need it and takes place via personal accounts, and data from different customers is kept separate.

Your rights

You have the right to access your data, have your data corrected, have your data deleted, have the processing restricted, object to processing (including against direct marketing), receive your data in a common file format or have it transferred, and withdraw a given consent without affecting the lawfulness of the processing before that withdrawal.

If you wish to exercise any of these rights, please send a message to bo@horsemanager.nl. We will respond within one month. If we have reasonable doubt about your identity, we may ask you for additional information to verify it, for example via the email address or phone number we have on record. We do not routinely ask for a copy of an identity document.

If you are not satisfied with how we handle your data, we would first like to hear from you directly. You also always have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens), via autoriteitpersoonsgegevens.nl.

Automated decision-making

We do not make decisions about you based on automated processing that have legal consequences for you or that affect you to a significant degree.

Changes

We may update this privacy policy, for example if our services or legislation changes. The current version is always available on our websites. For significant changes we will actively inform our customers.

This version is dated 16 July 2026.

This privacy policy is also available in Dutch. In the event of a discrepancy between the Dutch and English text, the Dutch text prevails.
